When should I book?

Event Planning – To get the most out of our planning services, we highly recommend that a couple books us at least 1year in advance. This allows us ample time to assist you in researching the best of the best while also making the recommended deadlines wedding vendors require when booking.

Event Day of Coordination – You’ve worked very hard to plan, organize and design your BIG DAY, let us help you make sure that nothing slips through the cracks the day of. We recommend to book us for Day ofCoordination services at least 3months in advance. This allows us to properly organize and plan a thorough timeline ensuring that your vision becomes reality on the actual day.

Event Designing or Custom Creations – We make sure that your vision is perfectly executed with your unique theme. Depending on the scale of the project, we ask that you book us at least 2-5months in advance. This gives us the time to customize any prop, design any concept and fabricate anyTHING!

What projects can you custom create?

Legal Terms and Conditions for Services?

This Contract is issued pursuant to the Event and/or Rental or Comissioned Services Master Agreement between Client Name(s): ______________________ (“Client”) and VISIONARY EVENTS AND DESIGNS (“Contractor”), effective CONTRACT DATE (the “Agreement”). This Contract is subject to the terms and conditions contained in the Agreement between the parties and is made a part thereof. Any term not otherwise defined herein shall have the meaning specified in the Agreement. In the event of any conflict or inconsistency between the terms of this Contract and the terms of this Agreement, the terms of this Contract shall govern and prevail. By executing this contract as Client, the person executing said contract, either individually, or as an agent or representative, represents and warrants that he or she is eighteen (18) years of age, and further, if executing said contract as agent or representative, that he or she has the authority to enter into this agreement and should he or she not have such authority, he or she personally accepts and assumes full responsibility and liability under the terms of this contract. All attached riders are an integral part of this contract. This contract will supersede any other contract. If any part of this contract is illegal or unenforceable, the remaining provisions of this contract will remain valid and enforceable to both parties. This contract contains the entire agreement between the parties and no statement, promises, or inducements made by any party hereto, or agent or representative or either party hereto, which are not contained in this written contract, shall be valid or binding. This contract shall not be enlarged, modified, or altered except in writing by both parties and endorsed hereon. The laws of the State of California shall govern this agreement. In the event of suit involving or relating to this agreement, Client agrees that venue will be in Contra Costa County. Client agrees to defend, indemnify, assume liability for and hold Visionary Events and Designs harmless from any claims, damages, losses and expenses by or to any person, regardless of the basis, which pertains directly or indirectly to Visionary Events and Designs performance. In the event that a civil action arises in an effort to enforce any provision of this agreement, the losing party shall pay the attorney’s fee and court costs of the prevailing party. Client may not transfer this contract to another party without the prior written consent of Visionary Events and Designs. This agreement is not binding until signed by both Client and Visionary Events and Designs has received it. Any changes must be written and signed by both the Client and Visionary Events and Designs. Oral agreements are non-binding. If any clause in this agreement is found to be illegal, the rest of the agreement shall remain in force. Visionary Events and Designs may elect not to exercise their rights as specified in this agreement. By doing so, Visionary Events and Designs does not waive the right to exercise those options at a future date. THE PARTIES hereto promise to abide by the terms of this agreement and intend to be legally bound thereby.

What is the difference between Event Coordinator, Event Planner and Event Designer?

Event coordinators arelogistically focused, but on a shorter timeline than a planner. They usually begin helping you prepare a month before the wedding and function as the point person on the wedding day. They will confirm vendor contracts and create a day-of timeline, as well as make sure things like payments and guest counts are in order, but won’t be involved in the earlier planning phases or keeping track of your budget.

Duties Include;

1. Puts in at approximately 25 hours.
2. Meets with you four to eight weeks before the wedding to get a handle on what you’ve planned thus far.
3. Checks in with your vendors to review the signed contracts and confirm logistics.
4. Creates detailed timelines and floor plans.
5. Completes a final walk-through of the ceremony and reception sites.
6. Addresses any overlooked details (such as forgetting to hire a coat check attendant).
7. Manages the rehearsal.
8. Oversees everything on the wedding day.

Event planners are all about the logistics, from vendor referrals and contract negotiation to day-of execution of your vision. Taking the guesswork out of the process, making planning a wedding as seamless and smooth as possible.

1. Duties include; 1.Working 80 to 250 hours a month.
2. Provides vendor referrals and negotiates contracts; schedules and attends all vendor meetings.
3. Creates detailed timelines and floor plans.
4. Helps determine and manage your budget.
5. Attends site tours and menu tastings.
6. Brainstorms style ideas and coordinates design details.
7. Coordinates hotel room blocks and transportation.
8. Manages the rehearsal.
9. Oversees everything on the wedding day (makes sure everyone adheres to the timeline, handles snafus, manages vendors, and executes your vision on-site.

An Event Designer’s role is purely aesthetic, and doesn’t include things like contract negotiations or attending appointments alongside the bride. We specialize in design, consulting on everything from floor plans and lighting design to the flowers, furniture, linens, and attire. Also helping with the decisions that will give your event a cohesive, stylish and sophisticated look. “A designer has an artistic eye that allows them to conceptualize the whole event and truly transform a space.”

Duties Include;

1. Works up to 40 hours.
2. Creates the wedding’s design concept.
3. Provides color palette guidance.
4. Oversees the decor budget and vendors (florist, rentals, lighting, stationer).
5. Sources special props and equipment.
6. Attends a site visit to visualize where you want everything to go, devise a layout, and identify potential problems.
7. Creates detailed floor plans.
8. Ensures all of the decor elements are in place on-site at the wedding.

Terms and Conditions for Payment & Cancellation & Client Responsibilities ?

PAYMENT A 50% non-refundable deposit of _____ is due to lock EVENTDATE and must be submitted with the signed contract. The remaining balance of ____ is due 2 weeks prior to event date (FINALPAYDATE ). Services requested that exceed the original total amount will be invoiced accordingly. A $25 fee will be added to the balance for each day the remaining payment is late (excluding Sunday and holidays). Payment may be made by either Venmo, Cash, Check, payable to Janelle Vison Iñiguez. Paypal or Credit Card payments are subject to a 3% transaction fee. SERVICE CANCELLATION / REFUNDS In the event that the client wishes to cancel, the client is responsible for contacting Janelle Iñiguez before DATE. Any cancellations made after this date is subject to the forfeit of the deposit with an additional 15% of the remaining balance. No refunds will be permitted once services and products/designs are performed. Please see ‘Scope of Work’ below. COMISSIONED / CUSTOM PROJECT CANCELLATION The delivery of materials and fabrication process will begin on DATE. Any cancellations made after this date is subject to the forfeit of the entire balance of the project. CLIENT RESPONSIBILITIES AND ADDITIONAL SERVICES/FEES Client is held liable for any rented Visionary Events & Designs décor that is damaged or destroyed by guests (invited or not), vendors and/or client and must be paid for in full. Client is responsible for sending a Final Draft of the Visionary Events & Designs Questionnaire 5 weeks before the event. Note that the Visionary Events and Designs questionnaire is in accordance with this contract. All additional services inquired will be added to the FINAL invoice. Any additional expenses & services; store runs, taxi rides, meals, hotel stays, additional hours etc. will be billed to the client within 1 week of the event. Client is responsible for reimbursing Visionary Events and Designs within 1 week of the sent invoice. Proof of receipts/statements are available upon request. Visionary Events and Designs reserves the right to refuse additional services beyond the scope of work agreed. Client shall provide Visionary Events and Designs with safe and appropriate working conditions. This includes ___________________ for set up, space for setting up a “Command Station”. Visionary Events and Designs also requires a minimum of one 15-20-amp circuit outlet from a reliable power source within 50 feet (along the wall) of the set-up area. Client is responsible for paying any charges imposed by the venue. These charges may include, but are not limited to, parking, additional insurances and use of electric power. It is the client’s responsibility to secure access to areas for our Event Services. Visionary Designs & Events will not be responsible for preventable errors due to access restrictions. Creative aspects such as décor placement, Event timeline and vendor coordination are at the discretion of Visionary Events & Designs. Client is able to follow up and discuss outstanding events one time after the Client’s Event Date.

Terms and Conditions for Scope of Work?

SCOPE OF WORK Vision Boards and Inspiration photos curated by the client and the contractor are used as a communication tool to share visual concept ideas. The final product will NOT be a direct reflection nor an exact replication of the photos used for inspiration. Visionary Events and Designs reserves the right to exercise creative direction in the process of the event’s production/planning. Client is hiring Visionary Events and Designs for their creative work and design abilities. By signing this agreement, the client is agreeing to this process. Friends/family or outside vendors are permitted to assist with the planning/coordination on the condition that they do not interfere with or disrupt the process of the professional Planner/Coordinator. In the event that more than one client wishes to book event services on the same day, preference will go to the first client to pay the deposit. Rescheduled Events will only be accommodated if the new date does not conflict with another booked Event. Event date/location changes are subject to a $350 fee plus any fees that Visionary Events and Designs incurs as a result of changing travel reservations, assuming that Visionary Events and Designs is available on the new date. For decorative services, this agreement guarantees that Visionary Events and Designs will be event ready at the start time of the engagement. Visionary Events and Designs requests that they be permitted ____ Hours before the engagement and ____ hours after the engagement for setup and takedown. Visionary Events and Designs also requests ramp or elevator access between the loading dock entrance and the setup area. Visionary Events & Designs will not be held liable for any Planning/Coordinating problems beyond our control e.g. bad weather, accidents, poor acoustics/lighting. Visionary Events & Designs reserves the right to terminate this contract at any time for any reasonable cause, e.g. accident or ill health. In this event all monies paid will be refunded in full. Visionary Events & Designs reserves the right to remove them-selves and all equipment at any time there appears to be a potential danger to them-selves or equipment (fighting, improper fireworks; careless discharge of firearms; etc.). No refund or other consideration shall be given in such cases. Visionary Events & Designs reserves the right to use the original footage and/or reproductions for display, promotion, publication or other purposes, otherwise notice and an additional fee of $200 must be made by client prior to Event date.

Do you charge for traveling?

A travel rate from Brentwood, CA is applied to all service and rental options during checkout. A travel/lodging fee may be assessed on venues outside of the Bay Area (25+ miles from Brentwood, CA) or where air travel is necessary; rates vary by location. Please inquire for a quote.

What types of events do you service?
